Lesson 04 of 14
Overview
Will, EnableUs Community: Hey everyone, welcome back to the EnableUs Community podcast. I’m Will, and I’m here with Winter. Today we’re diving into something that, honestly, I reckon every NDIS provider has struggled with at some point—accounting tools and compliance. Winter, you ever get that feeling where you’re just drowning in spreadsheets and you’re not even sure if you’ve sent the right invoice?
Winter, EnableUs Community: Oh, absolutely. I mean, I’ve seen providers with folders full of paper invoices, sticky notes everywhere, and then they wonder why payments are late or things get missed. It’s chaos, honestly. And it’s not just about being organised, right? It’s about making sure you’re actually compliant with NDIS rules, so you don’t get caught out in an audit or lose track of your cash flow.
Will, EnableUs Community: Yeah, exactly. I remember chatting with a provider—let’s call her Jess—who was spending hours every week just trying to reconcile spreadsheets. She’d have one for invoices, another for expenses, and then she’d be cross-checking everything by hand. It was, like, a full-time job on top of her actual job. And the worst part? She still missed stuff. Payments would slip through the cracks, and she’d get these headaches trying to fix it all up at the end of the month.
Winter, EnableUs Community: That’s so common. And it’s not just about the time, it’s the stress too. If you’re not invoicing accurately or on time, your cash flow takes a hit, and suddenly you’re chasing money instead of focusing on your clients. Plus, if you’re not compliant, you risk penalties or, you know, just making life harder for yourself when the NDIS comes knocking.
Will, EnableUs Community: Yeah, and honestly, once Jess switched to a proper accounting tool, she got her evenings back. No more spreadsheet nightmares. It’s one of those things where you don’t realise how much it’s holding you back until you fix it.
Winter, EnableUs Community: So, let’s talk about what actually makes a difference when you’re picking an accounting tool. I mean, there’s a lot out there, but not all of them are built for NDIS providers. The big wins are things like streamlined claims, being audit-ready, tracking GST, and just cutting down on errors, right?
Will, EnableUs Community: Yeah, and I think the NDIS integration is a big one. Like, if your tool can pull in the NDIS Price Guide or let you enter line items manually, that’s huge. It means you’re not guessing or copying and pasting codes all the time. Automated reminders are another lifesaver—no more chasing overdue payments because the system does it for you.
Winter, EnableUs Community: And don’t forget customisable templates. I know it sounds small, but being able to add participant details, support item codes, and your own branding to invoices just makes everything look more professional. Plus, secure reporting and document storage—if you ever get audited, you want to be able to pull up everything in a couple of clicks, not go digging through emails or, like, a shoebox of receipts.
Will, EnableUs Community: Yeah, and speaking of tools, Winter, you’ve spent a bit of time with Xero, right? How does it stack up for NDIS providers?
Winter, EnableUs Community: Yeah, I have. Xero’s great for automation—things like recurring invoices, bulk invoicing, and it’s got really solid reporting features. It’s not NDIS-specific, but it’s flexible enough that you can set it up to work for most providers. Then you’ve got Brevity, which is actually built for the NDIS sector. It handles participant details, support item codes, and all that stuff natively, so you don’t have to hack things together.
Will, EnableUs Community: And then there’s QuickBooks and MYOB. I mean, they’re both solid, especially if you’re already using them for other parts of your business. QuickBooks is super user-friendly, especially for small teams, and MYOB’s been around forever—good for both desktop and cloud-based bookkeeping. But, yeah, if you want something that’s really tailored to NDIS, those sector-specific CRMs like Brevity or Careview are worth a look.
Winter, EnableUs Community: Totally. I guess it comes down to what you need—if you want deep NDIS integration, go for something like Brevity. If you want broader accounting features and automation, Xero or QuickBooks might be a better fit. Just don’t pick something that makes you do more manual work than you have to.
Will, EnableUs Community: Alright, so you’ve got your tool, but that’s just the start. Staying compliant is all about the habits you build. Like, invoice regularly—weekly or fortnightly, not just when you remember. It keeps your cash flow healthy and stops mistakes from piling up.
Winter, EnableUs Community: Yeah, and reconciling your accounts every month is a must. It’s not the most exciting job, but it means you catch any issues early. And, honestly, backing up your data is non-negotiable. I’ve heard horror stories of people losing everything because they didn’t have a backup. It’s just not worth the risk.
Will, EnableUs Community: And don’t forget to align your service notes with your invoices. If the NDIS ever audits you, they’ll want to see that what you billed matches what you delivered. I learned that the hard way during my first audit. I was, like, sweating bullets, but because I’d set up everything in the accounting tool—service notes, invoices, the whole lot—it was actually pretty painless. I mean, I still lost sleep, but it could’ve been way worse.
Winter, EnableUs Community: That’s the thing—having the right systems in place just takes so much stress out of compliance. And if you ever feel out of your depth, don’t be afraid to get help from a bookkeeper or accountant who knows the NDIS. It’s better to ask for help than to try and fix a mess later.
Will, EnableUs Community: Yeah, totally. So, whether you’re just starting out or you’re looking to scale, getting your accounting sorted is one of the best things you can do for your business. Start simple, upgrade as you grow, and don’t leave compliance to chance.
Winter, EnableUs Community: Alright, that’s a wrap for today. Thanks for hanging out with us and talking all things accounting and compliance. We’ll be back soon with more tips and stories from the NDIS world.
Will, EnableUs Community: Thanks, Winter. And thanks to everyone listening. Take care, and we’ll catch you next time on EnableUs Community.
Winter, EnableUs Community: See you next time, everyone!
